Mid-West University 4th Convocation Online Form Notice
Mid-West University, Office of the Controller of Examinations, Birendranagar, Surkhet, has published a notice regarding the online application form for students who wish to participate in its fourth convocation ceremony, scheduled to be held on Tuesday, May 19, 2026 (Jestha 05, 2083 BS).
According to the notice published on Monday, April 20, 2026 (2083/01/07 BS), eligible students may submit the online application in the prescribed format by 5:00 PM on May 3, 2026 (Baisakh 20, 2083 BS).
The university has set the following rules, eligibility criteria, and procedures for participation in the convocation ceremony:
Eligibility and Application Procedure

Eligibility: Only those students who graduated from Mid-West University at the Bachelor's, Master's, and Master of Philosophy (M.Phil.) levels and received their transcripts between February 13, 2025 (Falgun 01, 2081 BS) and April 27, 2026 (Baisakh 14, 2083 BS) are eligible to participate in this convocation ceremony. Students who completed the Doctor of Philosophy (PhD) level within the same period are also eligible.

Application Start Date: The application form can be filled out only through the online system from April 21, 2026 (Baisakh 08, 2083 BS).

How to Apply: Students can fill out the online form by visiting the Mid-West University Office of the Controller of Examinations website at https://muexam.edu.n and clicking on the Convocation Form available in the navigation bar.

Application Deadline: The online form will automatically close after 5:00 PM on May 3, 2026 (Baisakh 20, 2083 BS).
Document Upload and Verification Arrangements

The following documents must be uploaded along with the online form:

A recently taken MRP-size photograph

For Nepali students, a citizenship certificate; for foreign students, a passport

Transcript issued by the Mid-West University Office of the Controller of Examinations

Bank voucher or receipt showing payment of the prescribed convocation fee

While filling out the online form, students must upload the required photo and documents in the designated place in clearly readable PDF format. The size of each uploaded PDF must be less than 25 MB.

After completing the online form, the student must print the form and submit it for verification by attaching:

Hard copies of the documents uploaded with the form

3 copies of an MRP-size photograph
These must be submitted through the concerned campus or department where the student studied, or directly to the Office of the Controller of Examinations, Mid-West University, Birendranagar, Surkhet, by 5:00 PM on May 5, 2026 (Baisakh 22, 2083 BS).

The Office of the Controller of Examinations, Mid-West University, will not be obliged to accept forms submitted by students whose applications are incomplete or whose required documents have not been verified.

A student receiving the degree at the convocation ceremony may include up to two guardians. If guardians are to be included, an additional non-refundable fee of Rs. 500 per guardian must be paid.

Students wishing to participate in the convocation must deposit the fee in the bank only in the name of the graduating student. Payment in the name of any other person will not be accepted. The bank voucher must also mention the student’s registration number along with the student’s name.

Deposit Refund and Other Rules

Within 7 days from the date of completion of the convocation ceremony, students must submit an application for refund of the deposit amount along with proof that they have returned the gown, scarf, and hat used for participation in the ceremony. Otherwise, the Office of the Controller of Examinations will not be obliged to refund the deposit amount.

Since the deposit amount of students participating in the convocation ceremony will be refunded through a bank account, students must clearly and accurately provide the bank name, account number, and account holder’s name in the form. The Office of the Controller of Examinations will not be responsible if the refund cannot be made due to account-related issues.

Participants must attend the convocation ceremony in formal dress on the day of the ceremony.
