Mid-West University Fourth Convocation on Asar 3; Gown and Certificate Distribution Schedule Published
Surkhet: Mid-West University’s Fourth Convocation Ceremony will be held on Wednesday, 2083 Asar 03 (June 17, 2026). The Office of Examination Management, Birendranagar-8, Kuinepani, published a notice on 2083 Jestha 24 (2083/02/24), making public the detailed schedule and rules for the program.
According to the notice, the convocation ceremony will be held at the university’s Central Office, Birendranagar-8, Kuinepani, at 10:00 AM. Students who have submitted applications to participate in the ceremony and whose applications have been approved must enter the ceremony venue by 9:00 AM on the same day. For entry, students must show their gown set or the receipt for payment of the convocation application fee and sit in the designated place.
The detailed information and rules set by the university regarding the ceremony are as follows:
Arrangement Related to Gown Set, Gown/Scarf/Cap, and Dress
Since the gown set will not be distributed on the day of the ceremony, students must collect their gowns within the specified time. Students who do not wear the gown set will not be allowed to sit with the students being conferred degrees. Participating students must mandatorily wear the gown set provided by the university over their own clothing.
Gown distribution date and time: From 2083 Jestha 31 to Asar 02, including holidays, from 10:00 AM to 5:00 PM.
Distribution venue: Mid-West University, Office of Examination Management, Birendranagar-8, Kuinepani.
Required documents: A copy of citizenship certificate or a copy of an identity document.
Arrangement Related to Certificate Distribution
Certificates will be distributed from the designated certificate distribution counter at the convocation ceremony venue.
For students who applied to participate in the convocation ceremony but are unable to attend on that day, certificates will be provided from the Office of Examination Management on the office opening day after the ceremony.
Arrangement Related to Gown Set Return and Deposit Amount
The office has stated that the deposit amount of the concerned student will be refunded only after the gown set is returned as per the specified rules.
Gown return date and time: From 2083 Asar 05 to 11, excluding holidays, from 9:00 AM to 5:00 PM.
Return venue: Mid-West University, Office of Examination Management.
Deposit refund process: While returning the gown set, students must submit the “gown set clearance certificate” received after the return, the receipt for the application form, a copy of an identity document, proof confirming the bank account, and an application to the Office of Examination Management. After that, the deposit amount will be refunded to the student’s bank account.
For rejected applications: Students who applied but whose applications were not approved must submit an application for refund within 15 days from the date of publication of the notice.
Fine: The deposit amount will not be refunded to students who do not return the gown set within the specified date.
Special Note Related to Discrepancies
The notice states that if any discrepancy is found in the photos, certificates, or citizenship documents of students who applied to participate in the convocation ceremony, information regarding the matter will be sent to the concerned student’s email address. Students who receive such emails must complete the required work and contact the Office of Examination Management by 2083 Jestha 29. Otherwise, the university has clarified that such students will not be allowed to participate in the convocation ceremony.
