Pokhara University Exam Rules and Student Services Guide

The notice issued by the Office of the Controller of Examinations, Pokhara University, outlines key policies, examination rules, and administrative procedures for colleges and students. It states that new students must submit the required academic documents, original Migration Certificate, and equivalence certificate, where applicable, for registration.

Students dissatisfied with examination results may apply for Retotaling or Rechecking within 7 days and may subsequently request to view or obtain a copy of the answer sheet. 

Retake limits are set for regular students and those who have completed the normal study duration, with a maximum of 24 credits at the bachelor’s level and 15 credits at the master’s level. To obtain a Transcript, students must have a minimum CGPA of 2.00 at the bachelor’s level and 3.00 at the master’s level; students who do not meet the required CGPA may take Grade Improvement examinations in up to two subjects. 

The notice also specifies that, to retain regular student status, Thesis/GRP defense must be completed within 90 days of the relevant examination or result and submitted to the Office of the Controller of Examinations within 45 days after defense.

It further sets conditions for resuming studies and college transfer, provides that duplicate certificates may be requested only after 15 days from publication of a notice in a national-level newspaper if the lost document is not found, and states that English is the main medium of teaching, learning, and examinations. 

Certificate Attestation and Verification services, costing Rs. 300, and WES upload services, with a combined Attestation and WES cost of Rs. 400, are available through the Inquiry Section, generally on the same or second working day after the required procedures are completed.

1. Registration

Service Details: Registration

The following documents must be submitted for registration:

  • Copies of academic certificates

  • Copy of citizenship certificate and Original Migration Certificate

  • For students who studied outside Nepal, if the university where they studied does not issue a Migration Certificate, they must submit the Transcript Certificate and equivalence certificate.

  • Students who do not hold Nepali citizenship and wish to study in Nepal must submit proof of having been born in Nepal.

2. Retake

Bachelor’s Level

  • Students regularly studying in semesters before the final two semesters specified in the program may take Retake examinations in a maximum of three subjects.

  • Students regularly studying in the final two semesters may take Retake examinations in a maximum of four subjects.

  • Students who have completed the regular study duration but have not yet passed may take Retake examinations for up to a maximum of 24 credits.

  • For programs conducted under the annual system, students may take Retake examinations in a maximum of six subjects.

Master’s Level — All Programs

  • Regular students may take Retake examinations in a maximum of two subjects.

  • Students who have completed the regular study duration but have not yet passed may take Retake examinations for up to a maximum of 15 credits.

3. Rechecking/Retotaling

  • If a student is dissatisfied with a published result, an application for Rechecking or Retotaling may be submitted through the concerned college within 7 days from the date of publication of the result.

  • If the Grade of a subject changes after Rechecking, the amount paid for Rechecking will be refunded. The student must submit an application to receive the refund. However, the fee paid for Retotaling will not be refunded.

4. Viewing an Answer Sheet and Requesting a Certified Copy

  • If an examinee is dissatisfied with the result of a final examination conducted by the Office of the Controller of Examinations, the examinee may request to view the answer sheet and obtain a copy of it. An application using the prescribed form must be submitted in person to the Office of the Controller of Examinations.

  • To view an answer sheet or request its copy, the answer sheet must first have undergone Rechecking. The prescribed form for viewing the answer sheet or requesting its copy must be submitted to the Office of the Controller of Examinations within a maximum of 7 days from the date of publication of the result of that Rechecking.

5. Re-Enrollment in Another Program

Students who enrolled in one program and completed its regular study duration but did not pass may enroll in another program and continue regular study only if they complete the procedures prescribed by the University for admission to the concerned program.

6. Certificate Correction

Procedure and Decision of the Academic Council

Students seeking Correction of certificates or other documents issued by the Office of the Controller of Examinations must submit them to the Office together with a recommendation from the concerned college and the supporting basis/evidence required for the Correction.

Documents must be submitted for Correction within one month from the date of issue. Otherwise, the prescribed Correction fee will apply according to the rules.

7. Dean’s List and Regular Student Status

  • Students who complete all requirements within the Normal Duration specified for the concerned program will be regarded as regular students.

  • In a master’s-level program where a student has passed all subjects prescribed by the program and has only Thesis/GRP in the final Semester/Trimester, only those students who complete the Thesis/GRP Defense within 90 days from the date the final examination of that semester ends and submit it to the Office of the Controller of Examinations will be regarded as regular students.

  • If the final Semester/Trimester includes subjects along with Thesis/GRP, only students who complete the Thesis/GRP Defense within 90 days from the date of publication of the subject results and submit it to the Office of the Controller of Examinations will be regarded as regular students.

8. Deadline for Thesis Submission to the Office of the Controller of Examinations

The Thesis/GRP must reach the Office of the Controller of Examinations within 45 days after the Thesis/GRP Defense. In the case of Practical/Field Works, it must reach the Office within 45 days from the date of external evaluation.

9. Resuming Studies

If a student has discontinued studies for various reasons and later needs to resume them, the following conditions must be fulfilled:

  • Based on the student’s original admission date, there must still be sufficient time to complete the concerned program.

  • Based on the academic achievement obtained before discontinuing studies, the student must resume study in the Semester/Trimester/Year immediately above the Semester/Trimester/Year in whose final examination the student last participated.

  • The student must obtain approval from the concerned Dean’s Office to continue studies and must complete enrollment within 2 weeks from the date the study period begins.

  • For technical programs requiring membership in a council, if such membership has not yet been obtained, admission may be granted to the same school/college if a seat is vacant within the current Semester/Trimester/Year admission quota. If no seat is available there, admission may be granted to another school/college where a quota is available.

  • If council membership has already been obtained, or in the case of other general programs, admission will be granted at the concerned school/college.

10. Grade Improvement

  • Only students who have obtained at least CGPA 2.00 at the bachelor’s level and at least CGPA 3.00 at the master’s level may obtain a Transcript.

  • If a student has passed all subjects prescribed by the concerned program but has not achieved the required CGPA stated above, the student may participate again in examinations for up to two previously passed subjects for Grade Improvement.

  • To participate in a Grade Improvement examination, an application must be submitted through the concerned college and prior approval must be obtained.

11. Obtaining a Duplicate of a Lost Certificate

If documents issued by the Office of the Controller of Examinations, Pokhara University, such as a Transcript, Migration, Provisional Certificate, Degree Certificate, or other certificates are lost and a duplicate is required, a notice must first be published in a national-level newspaper.

If the document is still not found 15 days after publication of the notice, the student may request a duplicate by completing the form prescribed by the Office of the Controller of Examinations and submitting it together with a Police Report stating that the document was not found and a letter from the college where the student studied.

12. Dropout Migration

The prescribed form must be completed and submitted after paying the specified fee, together with:

  • A letter from the concerned college

  • A copy of the citizenship certificate

  • Original Registration Card

13. College Transfer

Procedure and Decision of the Academic Council

Students must contact the Dean’s Office with permission from the college where they are currently studying and approval from the college where they wish to study.

Note: The above provision applies only to Fee Paying students. Students studying under a Scholarship may use this provision only on the condition that they continue their studies as Fee Paying students. A vacant quota must be available at the college where they wish to study.

14. Medium of Instruction and Examinations

At the bachelor’s and master’s levels, except where otherwise specified for the concerned subject, the medium of Teaching, Learning and Examinations at Pokhara University will be English.

Verification and WES

1. Attestation and Verification of Academic Certificates

Service Details: Attestation and Verification of academic certificates

Required Documents: Duly completed application form and the certificates to be attested/verified.

Service Delivery Time: If submitted before 12:00 noon, the service will be provided on the same day; otherwise, it will be provided on the second working day.

Service Fee: Rs. 300 per set for attestation/verification.

2. WES Upload and Email

Required Documents: Each attested certificate must be named in the following PDF format using the WES reference number and sent to deputycontroller1@pu.edu.np.
